Where to check and configure the settings for leave carry forwards?

Modified on Mon, 22 Apr 2024 at 04:46 PM

Leave carry forwards allow employees to carry forward unused leave to the next year. This gives employees the flexibility to take time off when needed without losing their entitled leave. However, employers must carefully manage leave carry forwards to avoid excessive leave balances that can create staffing and financial challenges for the organization. In this article, we will show how to check and configure the settings for leave carry forwards on Keka.

Navigate to Time Attend (1), then go to Leave (2), and under Leave Plans (3) you will see all the leave plans configured for your organization.

Select the relevant leave plan and find the Leave Type you want to configure the carry forward settings for. Then, click on the three dots next to View and click Settings.

This will open up a new window where you have to proceed to the Additional Restrictions section by clicking Save & Continue on the previous sections.

Under, 'What happens to the remaining leave balances (if any) at the end of the year?' you can see the current carry forward settings for the selected leave type.

You can change these settings by clicking on the drop-down and selecting the desired option.

Based on the option you select, you will get additional settings that can be used to configure rules for the carry forwarding of leaves.

If you select 'All Leave Balances are reset', the leave balance will reset to the amount specified in the Accrual & Accumulation section.

If you select 'All Leave Balances are paid', the employees will be paid after the year-end processing based on the leave encashment policy selected at that time.

If you select 'All Leave Balances get carried forward', you can transfer any remaining leave balance to another type of leave balance. This option is available for all types of carryforwards and gives you the flexibility to manage your leave balance according to your needs.

If you select  'Pay first and then carry forward remaining' or  'Carry forward first and then pay remaining', you can then choose if only a fixed number of days, or a fixed percentage of the remaining balance will be carried forward/paid. The exact number of days/percentage will have to be specified below the option.

In case you choose the percentage option, you can also, restrict the number of days to be carried forward/paid.

After making the required configurations, click Save & Close to exit this window.
