How to create Geo Locations and assign them to employees?

Modified on Mon, 22 Apr 2024 at 04:43 PM

Geo Locations provide employees with a convenient option to clock in from their mobile app when close to the office or other designated locations, increasing flexibility beyond the installed attendance-capturing devices. By using Geo Locations, employees can clock in quickly and easily, giving them more time to focus on their tasks, which can ultimately increase overall productivity. Keka simplifies the process of creating and assigning geo-locations to employees.

Before you begin, ensure that your employees' current capture scheme allows them to punch in remotely. To do this, go to Time Attend (1) and click on Attendance Tracking (2), then go to the Capture Scheme (3) section. Find the relevant capture scheme from the list and click on the Update (4) icon.

On the window that opens, proceed to the Remote Punches section by clicking Save & Continue on the previous steps.

In the Remote Punches section, ensure that the option "Allow Employees to do remote clock-in using Keka mobile app" is selected. Also, select "Yes" for "Do you want to restrict employees to clock-in only from pre-defined geo-locations (Work with Keka Mobile App only)?" and check the box that says "Employees under this capture scheme are also restricted to clock-in from locations that are specifically assigned to them."

Now You can click on Save & Continue and exit the window.

The employees in this capture scheme can be assigned geo locations now. To do this, click on Time Attend (1) and go to Settings (2). Here, go to the Geo Locations (3) and click on +Add Location (4).

On the map that opens, you can either type the location or pin the location directly on the map. Then you can also specify a radius (in meters) around the location within which the employees will be able to clock in.

The new Geo location will be available in the list. Just find it and click Assign Employees to bring up a new window.

Now you will see a list of employees which can be filtered by their departments, location, and capture scheme. Now just select the applicable employees and click on Assign Employee(s). You’ll get a confirmation message and once you click on Confirm, the employee(s) will be assigned to this geo-location.

In conclusion, Keka has made it simple to create and assign geo-locations to employees. By using this feature, employers can better manage employee attendance, ensure compliance, and increase productivity.
