What is Asset Acknowledgement?

Asset acknowledgment is the process of confirming an employee's receipt and understanding of an assigned asset within an organization. By requesting asset acknowledgment in Keka, administrators can ensure employees are aware of their responsibility for the assigned asset and have the opportunity to provide additional comments if necessary.


Why Request Acknowledgement From Employees In Keka?

Requesting employee acknowledgment for assigned assets in Keka offers several benefits:

How To Request Asset Acknowledgement


For Admins

When assigning an asset to an employee in Keka, the option to request employee acknowledgment is checked by default. Here's how admins can request asset acknowledgment:


Assign the Asset: Follow the steps outlined in the "How to Assign Assets" section of the article to assign the asset to the employee.



For Employees

When an asset is assigned to an employee in Keka, they receive a task in their inbox to acknowledge the asset. Here's how employees can acknowledge the asset:


Review Task in Inbox: In the employee's inbox under the "Take Action" tab, they will find a task related to the assigned asset.


In the task, the employee can view details of the assigned asset, such as:
1. Asset name
2. Asset ID
3. Location
4. Category
5. Asset type
6. Condition
7. Asset image


The employee can choose to acknowledge receiving the asset by clicking on the "Acknowledge" button.


Optional: Adding Comments: If the employee has any comments or questions regarding the asset, they can add them in the task. However, once the employee acknowledges the asset, no further comments can be added.


Task Archival: Once the employee acknowledges the asset, the task moves to the "Archived" tab in the employee's inbox, indicating that the acknowledgment process is complete.



Managing Pending Acknowledgements


For Admins

Administrators can track and manage pending asset acknowledgments in Keka. Here's how admins can manage pending acknowledgments:


1. Navigate to Org and select the Assets tab. Select the Asset Acknowledgement tab here and go to the Pending Acknowledgments section.


In the table view, administrators can see a list of employees yet to acknowledge their assigned assets. 


The table provides details such as:
1. Asset ID
2. Asset name
3. Assigned to
4. Assigned on
5. Asset condition


If an employee has added any comments during the acknowledgment process, administrators can click on "View Request" under the "Actions" column to review the comments.


Under the "Actions" column, administrators have the following options:

  • View Request: View any comments added by the employee and other details during the acknowledgment process.
  • Remind: Send the employee a reminder email to acknowledge the asset.
  • Recover Asset: In case the asset needs to be recovered from the employee, administrators can initiate the asset recovery process.
  • Edit Asset Details: Edit the asset details, if necessary.


For Employees

Employees do not have actions to manage pending acknowledgments. They can simply acknowledge the asset assigned to them, add comments if required, and wait for further instructions or notifications from the administrators.


How To Track Completed Acknowledgements

Once an employee acknowledges an asset, the acknowledgment request is considered complete. Administrators can view completed asset acknowledgments by navigating to Org and in the Assets tab, select Asset Acknowledgement. Go to the Completed Acknowledgements tab here.
