Overview


Managing multiple client projects can be challenging, requiring meticulous tracking of clients, projects, resource allocations, and timesheets. To simplify this process and gain detailed insights, Keka PSA offers a solution through its Reports section. In this article, we will explore how you can effectively utilize the Reports section in Keka PSA to streamline project tracking, improve resource management, and make informed decisions.


To access the Reports section, simply go to the Project (1) and open the Reports (2) tab.



Now, let's explore the different sections of the Reports tab and see how they can simplify project tracking and reporting.


 

Clients, Projects, and Reports:



The Clients, Projects, and Reports section offers various reports that you can utilize to enhance project management and resource allocation. Here's a summary of the available reports and their functions in this section:


1. Client Details: View detailed information about clients within a selected period, including their contact details and relevant custom fields.


2. Project Details: Access specific project details within a selected period, including project-specific information and custom fields.


3. Project Details With Custom Fields: Get a comprehensive view of project details along with any defined custom fields.


4. Client Details With Custom Fields: Obtain a detailed overview of clients, including custom fields associated with their profiles.


5. Task Info: View task-related information such as start and end dates, task stages, and billing types for selected projects and clients.


6. Client Contacts: Access contact information for all contacts associated with the selected client.


7. Project Manager Privileges: Get insights into the specific privileges and permissions assigned to project managers for a selected project.


8. Project Resource Allocation Summary: Gain visibility into employee assignments for selected projects and clients, helping you manage resource allocation effectively.


9. Non-Billable Resources: Identify employees assigned to billable projects but with a billing rate of '0', enabling you to address any billing discrepancies.


10. Unassigned Resources: View details of employees without a project assignment and timesheet enabled, helping you keep track of available resources.


 

Project Work Hours:



The Project Work Hours section provides reports which can give you an overview of work hours in various aspects related to projects, departments, clients, resources, tasks, and timesheets. Here is a summary of the different reports within this section:


1. Department Work Hours: Displays the total work hours of the selected department within the chosen period, allowing you to track and analyze department-specific work hours.


2. Project Work Hours: View the total work hours for the selected project within the chosen period, helping you assess project effort and track progress.


3. Client Work Hours: Presents the total work hours of the selected client within the chosen period, enabling you to analyze work hour allocation across different clients.


4. Employee Work Hours: Provides insights into the work hours of employees associated with the selected client during the chosen duration, helping you understand individual workloads and productivity within client-specific projects.


5. Task Work Hours Summary: Displays details of all tasks and their corresponding work hours within the selected period for the chosen project, helping you monitor task progress and identify areas that require attention.


6. Task-Wise Resource Work Hours Summary: View the work hours of resources assigned to specific tasks within the selected projects and duration, aiding in resource allocation and optimizing task assignments.


7. Resource Work Hours Summary: Presents the work hours of all resources within the chosen period, providing a comprehensive view of resource productivity and utilization.


8. Timesheet Hours with Shift, Leave & Holidays Summary: Displays details of resources' timesheet hours, including shifts, leaves, and holidays, within the selected period, helping in tracking attendance, leave management, and resource availability.


9. Client-Wise Resource Work Hours Summary: Provides an overview of resources' work hours within the selected period for each chosen client, facilitating evaluation of resource utilization across different clients.


10. Project-Wise Resource Work Hours Summary: View the work hours of resources dedicated to the selected project within the chosen period, assisting in analyzing resource allocation and project-specific workloads.


11. Daily Time Entries: Access timesheet entries for any specific day under the required project or client, providing a detailed breakdown of work hours logged on a daily basis.


12. Employee Tasks Summary: Provides task details of employees associated with the selected project and client within the chosen duration, aiding in monitoring individual task assignments and progress.


13. Employee Time Entry Details: Access detailed timesheet information for employees within the selected period, offering a comprehensive overview of individual work hours and task allocations.


14. Timesheet Attendance Summary: Presents attendance and timesheet entry details for any employee within the selected period, helping track attendance records and analyze timesheet entries.


15. Employees Using Timer for Timesheet: Displays timesheets within the selected range that have running timers enabled, aiding in monitoring real-time work progress and ongoing timesheet entries.


 

Billing and Invoice:



The Billing and Invoice section offers various reports and summaries to help track and analyze invoiced hours, expenses, and invoices. Here is a summary of the different reports within this section:


1. Project Resource Invoiced Hours Summary: Displays the invoiced hours for resources assigned to projects within a selected duration, allowing you to track the amount of time invoiced for each project and resource, providing insights into resource utilization and project costs.


2. Project Invoiced Expense Summary: Presents the invoiced expenses associated with a selected project during a specific time period, helping you monitor project expenses, identify cost trends, and ensure accurate billing.


3. Invoice Details Report: Provides a detailed overview of all invoices generated within a selected period, including information such as invoice numbers, client details, invoice amounts, and payment statuses. This report offers comprehensive visibility into the invoicing process and facilitates financial transparency.


4. Project Invoice Summary: This offers a consolidated view of invoice details for a specific project within a chosen duration, enabling you to review the invoicing history, track payment statuses, and analyze project-specific financial data.


5. Client Resource Billing: Displays resource billing details for a selected client within a particular project, helping you monitor resource costs associated with a specific client, facilitating accurate billing and client-specific financial analysis.


6. Project Resource Billing: Presents resource billing details for a chosen project during a specific duration, allowing you to track resource costs, analyze project expenses, and optimize resource allocation based on billing information.


7. Task Resource Billing: Provides task-resource billing details based on user-defined criteria, allowing you to select specific criteria and view billing information for tasks and resources associated with them.


 

Status:



The Status section in Keka PSA's Reports tab provides insights into the status of timesheets and projects. It includes the following reports:


1. Timesheet Status: Shows all employees' timesheets and their status and helps you to monitor timesheet submissions and approvals.


2. Project-wise Time Entry Status: Displays timesheet status details of projects within a selected duration and enables you to track the completion status of time entries for each project.


3. Employee-wise Time Entry Status: Provides timesheet status details of employees under a selected project and duration and helps assess employee productivity and identify delays in timesheet submissions.


4. Projects Expired/Overdue: Highlights projects that have expired or are overdue and aids in prioritization and timely action to address project deadlines.
